Set Up Your Profile & Booking Page

Your coach profile is the first thing students see when they visit your booking page. A complete, professional profile builds trust and helps you get more bookings.

  1. 1Go to your Booking Page settings and fill in your display name and headline
  2. 2Write a short bio that highlights your coaching experience and teaching style
  3. 3Choose a custom URL slug for your booking page (e.g., schedulefriend.com/book/your-name)
  4. 4Review how your profile looks by visiting your public booking page
How to choose a good booking URL
Keep it short and memorable — your first and last name works great. Students will use this link to book lessons, so make it easy to share verbally. You can change it anytime from the Booking Page settings.
What makes a great coach bio?
Mention your years of experience, certifications (USPTA, PTR), playing level, and what types of students you work best with. Keep it to 2-3 sentences — students scan quickly.

Add Your Venues & Courts

Add the locations where you teach so students know where their lessons will be. You can add multiple venues if you teach at different locations.

  1. 1Navigate to Courts and click "Add Court"
  2. 2Enter the venue name and address — the address will auto-complete as you type
  3. 3Select the surface type (hard, clay, grass) and whether it's indoor or outdoor
  4. 4Add any notes students should know (parking instructions, meeting spot, etc.)
Teaching at multiple locations?
Add each venue separately. When setting up your availability, you can assign different time slots to different venues, so students always know where to go.

Create Your Lesson Types

Lesson types define what you offer — private lessons, group clinics, match play sessions, etc. Each type has its own duration and price, so students can choose what fits them best.

  1. 1Go to Lesson Types and click "Add Lesson Type"
  2. 2Give it a clear name (e.g., "Private Lesson", "Beginner Group Clinic")
  3. 3Set the duration (30 min, 60 min, 90 min, etc.) and price
  4. 4For group lessons, set the maximum number of students
  5. 5Add a brief description so students know what to expect
Pricing tips
If you're unsure about pricing, start competitive and adjust as demand grows. Many coaches offer a shorter introductory lesson at a lower price to attract new students.
Group vs. private lessons
Group lessons are a great way to teach more students in less time. Set a max capacity that lets you give enough attention to each student — 4 to 6 is typical for most drills.

Set Your Weekly Availability

Your availability tells students when you're free to teach. Set your regular weekly schedule, and students will only be able to book during those windows.

  1. 1Go to Availability and select a day of the week
  2. 2Add time blocks for when you're available (e.g., 9:00 AM – 12:00 PM)
  3. 3Assign each time block to a venue where you'll be teaching
  4. 4Repeat for each day you teach
  5. 5Use the "Specific Dates" tab to block off holidays or add extra availability
What about buffer time between lessons?
Buffer time is set per lesson type. When you create a lesson type, you can add buffer minutes before or after — this prevents back-to-back bookings and gives you time to transition between students.
Handling holidays and special schedules
Use date overrides on the "Specific Dates" tab to block off days you're unavailable, or to add extra time slots for busy weeks. Overrides take priority over your regular weekly schedule.

Connect Your Calendar

Sync your Google Calendar or Microsoft Outlook to automatically block off times when you're busy. This prevents double-bookings and keeps everything in one place.

  1. 1Go to Settings and find the Calendar Integration section
  2. 2Choose your calendar provider — Google Calendar or Microsoft Outlook
  3. 3Sign in with your account and grant permission to read and create events
  4. 4Once connected, your busy times will be automatically excluded from available slots
How does two-way sync work?
When a student books a lesson, it automatically appears on your connected calendar. And when you have events on your calendar, those times are blocked off so students can't book during them. This works with both Google Calendar and Microsoft Outlook.
Can I connect multiple calendars?
You can connect one calendar provider at a time. If you switch from Google to Outlook (or vice versa), the previous connection is automatically disconnected. Choose whichever calendar you use most.

Manage Your Student Roster

Keep track of your students in one place. You can add students manually or they'll be added automatically when they book their first lesson.

  1. 1Go to Students to see everyone who has booked with you
  2. 2To add a student manually, click "Add Student" and enter their email
  3. 3The student will receive an email invitation to confirm the connection
  4. 4Once confirmed, you can create bookings on their behalf
Booking on behalf of students
Once a student is on your roster, you can create bookings for them directly from the Bookings page. This is useful for students who prefer to schedule over the phone or in person.

Share Your Link & Get Booked

Your booking page is live — now it's time to share it! Use the built-in sharing tools to spread your link across every channel your students use.

  1. 1Click "Share booking link" in the sidebar or go to your Booking Page
  2. 2Copy your link or use the share buttons for WhatsApp, Email, or SMS
  3. 3Download your QR code to add to flyers, business cards, or post at your venue
  4. 4Use your phone's native share to send it through any app
Tips for getting more bookings
Add your booking link to your Instagram bio, include it in your email signature, and share it in local tennis communities. The easier you make it for students to find your link, the more bookings you'll get.
Using QR codes
Download your QR code and print it on business cards, flyers, or posters at your venue. Students can scan it with their phone camera to go straight to your booking page — no typing required.

Set Up Recurring Lessons

Create weekly lesson series for students who train regularly. Recurring lessons auto-generate bookings on a rolling schedule, so neither you nor your student has to rebook each week.

  1. 1Go to Bookings and click "Recurring Lesson"
  2. 2Select a student from your roster and choose the lesson type
  3. 3Pick the day of the week, start time, and venue
  4. 4Set the start and end dates for the series
  5. 5Confirm to create the series — upcoming bookings are generated automatically
Managing a recurring series
View all your active series in the "Recurring" tab on the Bookings page. Each series shows the day, time, student, and date range.
Cancelling recurring lessons
When you cancel a booking that's part of a recurring series, you can choose to cancel just that single lesson, that lesson and all future ones, or the entire series. Pick the scope that fits the situation.

Track Session Notes & Progress

After each lesson, add notes and skill tags to track your students' progress over time. Students can see the notes you choose to share with them.

  1. 1Open any completed booking from the Bookings page
  2. 2Scroll to the Session Notes section and click to expand
  3. 3Write your notes about what you covered in the lesson
  4. 4Add skill tags (serve, backhand, forehand, volley, footwork, etc.) to categorize the session
  5. 5Toggle "Visible to student" to control whether they can see your notes
Using skill tags effectively
Consistent tagging helps you spot patterns over time. When you view a student's profile, you'll see a summary of which skills they've worked on most — useful for planning future lessons.
Sharing notes with students
By default, notes are private to you. Toggle the visibility switch to share notes with the student — great for homework assignments or things to practice before next time.

View Your Schedule

See all your bookings in a visual calendar with Day, Week, and Month views. Quickly spot open slots, manage your day, and stay on top of your teaching schedule.

  1. 1Go to Schedule from the sidebar to see your calendar
  2. 2Use the view switcher to toggle between Day, Week, and Month views
  3. 3Click any booking block to see its details
  4. 4Use the mini-calendar sidebar (desktop) to quickly jump to a specific date
  5. 5In Month view, click a day to drill down into the Day view
Staying on track during the day
Day and Week views show a red line indicating the current time, so you can see at a glance what's coming up next. The line updates in real time.
Schedule on mobile
On mobile, Day view shows a card list and Week view shows a 3-day rolling window. Swipe between days using the day-picker pills at the top.
